**Hatchbuck tip: Create your campaign before you create your event. It's the easiest way to tie your campaign to all contacts who have or will be attending the event.

Step 1: Start a Campaign 

  • Before you begin building your campaign, make sure you have your email templates built out first. 
  • Navigate to the Tools tab at the top of the page, click Campaigns and then click on the +New Campaign button at the top right corner of the page.

Step 2: Campaign Information

  • Name and Describe your Campaign (this is for internal use only).
  • Folder and Lock this campaign if you'd like, then click Continue.
  • Choose Start from Scratch then click Event Based Campaign.

Step 3: Add Steps to your Campaign

  • Click the blue + New Automation button on the right hand side to add steps to your campaign
  • Then select from any of Hatchbuck's Automations: 
  • Choose the Number of Day(s)/Hour(s) Before or After the event you would like this step to occur:
  • In this example you can see the email "[Introduction] Who We Are" will go out 7 days before the event date and will be sent from the contact's sales rep:
  • After adding your automations click Finish to save.

Step 5: Add Event to Contacts & Run Event-Based Campaign

  • Once you have your campaign in place you will need to create the event for your contacts and tie this campaign to the Event with the date and time it occurs. See below!

Creating the Event 

Multiple Contacts
You can set a date for multiple contacts, like a webinar, conference, etc on the contact list view.

  • First, select your contacts by checking the boxes next to their name (the check box in the header row will select all contacts).
  • From the Actions drop-down menu, select Add Contacts to Event.
  • Select a current event from the dropdown, or create a new event.
  • Select the frequency for occurrence (once, annual, etc).
  • Select the event date & time.
  • Select which event-based campaign you'd like to run for this event.

Single Contact: 

You can set a date for a single contact, like a renewal date, birthday, etc. 

  • Navigate to the Events tab within the contact's record:
  • Select a current event from the dropdown, or create a new event.
  • Select the frequency for occurrence (once, annual, etc).
  • Select the event date & time.
  • Select which event-based campaign you'd like to run for this event.

Through an Automation:
You can create the event for contacts and tie your campaign communication to that event through a form submission, link click, tag rule, or webpage visit.

** Note: You can only choose ONE date and time that every contact will be tied to for each event automation.

  • On any automation screen, select "Add to Event."
  • Select a current event from the dropdown, or create a new event.
  • Select the frequency for occurrence (once, annual, etc).
  • Select the event date & time.
  • Select which event-based campaign you'd like to run for this event.
